CRM Duplicate Finder: Clean Zoho and Pipedrive Exports
Drop in a CSV export from Zoho CRM or Pipedrive and the tool groups likely duplicates by email, phone and name, then gives you a cleaned file and a report to download. Your file never leaves your browser.
This finds likely duplicates, not every duplicate. Review likely groups before you merge them, and keep a copy of your original export.
How matching works
Same email
Emails are compared after trimming spaces and lowercasing. Two rows with the same email form an exact group. Gmail dots and +tags are not stripped, because jo+sales@ and jo+billing@ can be different people.
Same phone
Extensions are removed, then each number is reduced to its national number using the default country you pick, so +44 7700 900123 and 07700 900123 match. Full numbers are compared, never just the last few digits. Numbers under 7 digits and placeholders like 0000000 are ignored. Phone-only matches are marked likely.
Similar name and company
People with the same company and a similar surname are compared by name, so Zoë Smith and Zoe Smith at the same company are grouped as likely. Rows with no company, or a single-word name, are never matched on name.
Shared values never chain people
An email or phone on more than 5 rows, or linking rows with clearly different names (a switchboard, info@ or a receptionist’s mobile), is not used to link anyone. It is listed separately as a shared value.
Exact groups (same email) are removed from the clean file by default, keeping the row with the most filled-in cells. Likely groups stay untouched until you tick “Merge this group”. Cell values and headers are written back unchanged, in the same delimiter and column order. Quoting and line endings are tidied, and any row that was missing trailing cells is padded with empty ones.
Fix the duplicates in your CRM
Re-importing a clean file does not delete the duplicates already in your CRM. To fix the records you have, use the Record ID columns in the duplicates report with Zoho’s Find and Merge Duplicates or Pipedrive’s Merge duplicates. The clean file is for a fresh import, or for tidying a list from another source before it goes in.
Step-by-step: stop duplicate contacts in Zoho CRM and sync data to Pipedrive without duplicates.
Questions about the duplicate finder
Is my data uploaded?
No. The file is read and analysed inside your browser tab. There is no upload, no server-side processing and no analytics on what is in your file.
Why aren’t Gmail dots and +tags merged?
jo.smith@gmail.com and josmith@gmail.com are the same mailbox, but jo+sales@x.com and jo+billing@x.com are often different aliases or different people. Merging them wrongly loses data, while missing a duplicate costs you a second look, so the tool errs on the side of caution.
Does it merge duplicates in my CRM?
No. It gives you a clean CSV and a report. To merge records already in Zoho CRM or Pipedrive, use Zoho’s Find and Merge Duplicates or Pipedrive’s Merge duplicates, and use the Record ID column in the report to find the right records.
What is the maximum file size?
20 MB and 100,000 rows per file. The matching runs in a background worker so the page stays usable, but a very large export can still take a few seconds. For bigger exports, split the file.
Which columns does it need?
At least one of email, phone, or a name plus a company column. It recognises Zoho CRM headers (Email, Secondary Email, Phone, Mobile, First Name, Last Name, Account Name) and Pipedrive headers (Person - Name, Person - Email, Email - Work, Phone - Mobile, Organization). You can change any detected column. Comma, semicolon and tab-separated files all work.
Duplicates keep coming back? Fix the source.
Most duplicate problems start in the integrations that create records. We build CRM syncs that match before they create.
